Overview


The application of a visiting scholar for a staff mobility for teaching or training at Humboldt-Universität zu Berlin is generally handled by the faculty members responsible for the cooperation. If they support the application, the Erasmus+ Partner Countries Mobility will be co-ordinated with the visiting scholar's home institution according thei internal rules. The decision on the funding is made by Humboldt-Universität zu Berlin based on the Erasmus+ application including the respective attachments.

Funding is available for academic staff from the partner institution, especially those that are working within the cooperation projects, as well as teaching staff and emeriti:

  • STT - Staff Mobility for Training: you are part of the academic cooperation and would like to meet with your partner at Humboldt-Universität zu Berlin to strengthen your collaboration or take part in a training/workshop related to the project.
  • STA - Staff Mobility for Teaching: you have agreed with your partner at Humboldt-Universität zu Berlin to carry out teaching duties. The minimum length of a teaching mobility is five days plus two travel days, with a minimum number of 8 hours of teaching per week. Additional days increase the teaching hours proportionally (approx. 1.5 hours per additional day).
  • STT und STA Mobilities have a minimum length of five days (travel days not included) and a maximum length of two months. It is possible to fund several mobilities of one staff member within one financial agreement/subproject, as long as each individual mobilities has a minimum length of five days and maximum lengths of all mobilities for one individual does not exceed two months. Several mobilities to different partner countries or partner institutions are also possible.
  • Research stays that are not related to a teaching activity or the cooperation project are not funded

 

Before Your Arrival


It is possible to apply for the funding of a staff mobility through Erasmus+ Partner Countries on short notice, provided that the conditions have already been agreed upon by the departmental coordinator of Humboldt-Universität zu Berlin and the partner institution.

Usually, the selection of the staff member for the mobility is based on the shared academic interests within the cooperation projects and is not subject to a call for applications. The selection takes place in line with the requirements of the academic collaboration.

Application Procedure and Required Documents

Please inquire the exact application modalities of the academic coordinator of your Erasmus+ Partner Countries Project.

Your application has to include the following documents, which you hand in to your academic coordinator:

  • Application Form
  • Motivation Letter (please fill out the portion in the application form and state the reasons for your intended visit)

  • CV in Europass-Format
  • Proof of Employment at the Partner Institution
  • Letter of Support from the respective department at Humboldt-Universität zu Berlin (email is sufficient)
  • Mobility Agreement

 

Nomination

Your eligibility for an Erasmus+ Grant will be confirmed by the Erasmus+ Coordinator of Humboldt-Universität zu Berlin and you will be nominated as a participant.

After your nomination, please discuss the details of your business trip with your home institution.

The following documents have to be handed in three weeks before your mobility to the Erasmus+ Partner Countries team of Humboldt-Universität zu Berlin:

  • Confirmation (an email is sufficient) of your participation in the mobility, which states the exact dates of your visit
  • the signed Mobility Agreement
  • the first page of the Grant Agreement - the Grant Agreement is the basis for the funding of your mobility and has to be signed by you to your departure
  • the programme of your workshop, training, seminar, language course, etc., if applicable
  • Insurance Declaration or Request for Insurance Support

The Grant Agreement and the Mobility Agreement have to be filled-in and signed before your mobility. Please make sure the date on these documents lies before the the start date of your mobility.

Information about the insurance

In addition to the documents you have submitted to your home university, you have to provide proof of sufficient insurance coverage. Your insurance must include the following components:

  • Health Insurance
  • Accident Insurance
  • Return Transport
  • Third Party Liability Insurance

If you have sufficient insurance required for the mobility, please fill in and upload the Insurance Declaration form and a scan of your insurance policy. Please note that most travel insurance do not include a third party liability insurance. If you do not have sufficient insurance required for the mobility and would like us to effect an insurance for you from our partner, please fill in and upload the Request for Insurance Support form.

The PROTRIPWORLD PLUS Scheme provided by our partner Dr. Walter GmbH consists of: Overseas Health Insurance, Personal Liability Insurance , Accident Insurance and Assistance Insurance. The insurance premium is currently € 0.90 per day, there are no age restrictions, and the following insurance conditions apply:

  • Overseas Health Insurance with unlimited coverage of inpatient and outpatient treatment without deductible
  • Emergency Assistance Abroad
  • Dental treatment for pain relief including simple fillings as well as repair of existing dentures and dental prosthesis per case up to 500 €, medically necessary dental treatment as a result of an accident up to 1,000 €
  • Outpatient initial treatment of mental illnesses up to 1,500 €, inpatient emergency treatment of first-time mental or emotional disorders up to 20,000 €
  • Medically effective and reasonable evacuation of the insured person to his / her place of residence unlimited coverage
  • Repatriation of the insured in case of death unlimited coverage
  • Personal liability insurance lump sum for personal injury and / or damage up to 1,000,000 €
  • Overseas Accident Insurance: Disability max. amount 30.000 € (350% disability classification), accidental death 10.000 €

 

After Your Arrival


At the beginning of your stay at Humboldt-Universität zu Berlin

Please contact the Erasmus+ Partner Countries Team shortly after your arrival or make a personal appointment some time in advance to sign the Grant Agreement and to receive your grant. As a general rule, the grant will be paid 2-3 days after the agreed upon arrival date.

At the end of your mobility

After your mobility period, you will receive an e-mail from the European Commission asking you to fill in an online report. This report has to be filled in the latest 30 days after the mobility and is part of the signed Grant Agreement. This digital report is one of the conditions for the funding through the Erasmus Partner Countries Programme, neglecting to hand it in can lead to the reclaim of already paid lump sums.
