Through the Erasmus+ programme, HU staff members can receive funding for workplace-related further education and training abroad. You can read here about how this works and which funding is available for your stay abroad.

The Erasmus+ programme funds further education and training programmes for university staff at European universities and companies. On this page, you can find all the important information on this topic. Check the funding requirements and be inspired by typical further education formats. Then contact the Erasmus+ Further Education team directly with your “Expression of interest” (see section Application and procedure) or queries.

Job shadowing/work shadowing

Arrange an individual exchange to discuss ideas about best practices and to look over the shoulders of colleagues at other institutions.

Staff training weeks

Meet colleagues at the host institution from various universities or other institutions, to exchange ideas on relevant topics. This format is often promoted by the organising universities via email distribution lists. You can also use the online platform Imotion, which shows many available activities.

Workshops

Participate in workshops abroad to acquire relevant knowledge and skills for your work at HU.

General language courses

  • Language courses can be funded by Erasmus+ if the following requirements are met:
  • In the country of destination, the language is used as the native language.
  • The target language is used at your workplace.
  • The level of the language course is at least B1.
  • The course is at least 25 hours per week.
  • The course runs for two weeks.

Focus language courses

Language courses with a thematic focus can also be funded – for example, on the topics of business, public relations, academic writing or presentations. The following requirements apply here:

  • In the country of destination, the language is used as the native language.
  • The target language is used at your workplace.
  • The level of the language course is at least B1.
  • The focus language course runs for one to two weeks.

Erasmus funding for business trips for the purpose of further education is possible if the following requirements are met:

  • The applicant is an employee of HU.
  • The planned stay lasts for a minimum of two and a maximum of 14 days.
  • The planned business trip is for workplace-related further education (see also section “Formats”).
  • The visit should take place in one of the countries participating in the Programme.

Provided that the abovementioned requirements are met, your business trip can be funded with a per diem allowance, the amount of which depends on the country of destination. There is also a travel expenses allowance that is based on the distance to be covered. You can find the respective rates here.

Per diem allowance for working days and additional travel days

  • Group 1 – Programme countries with a high cost of living (Denmark, Finland, Ireland, Iceland, Liechtenstein, Luxembourg, Norway, Sweden): 180 euros per day
  • Group 2 – Programme countries with a medium cost of living (Belgium, France, Greece, Italy, Malta, Netherlands, Austria, Portugal, Spain, Cyprus): 160 euros per day
  • Group 3 – Programme countries with a low cost of living (Bulgaria, Estonia, Croatia, Latvia, Lithuania, Poland, Republic of North Macedonia, Romania, Serbia, Slovakia, Slovenia, Czech Republic, Turkey, Hungary): 140 euros per day

Please note: Holidays and public holidays can be combined with your business trip from the point of view of Erasmus, but cannot be funded. Please inform us before beginning your trip if you wish to combine these with a private stay.

Travel expenses allowance for the outbound and inbound travel as well as transfers

The Erasmus+ Distance Calculator determines the linear distance from Berlin to your destination. The allowance is then based on the travel distance:

  • 10 – 99 kilometres: 20 euros
  • 100 – 499 kilometres: 180 euros (with green travel: 210 euros)
  • 500 – 1,999 kilometres: 275 euros (with green travel: 320 euros)
  • 2,000 – 2,999 kilometres: 360 euros (with green travel: 410 euros)
  • 3,000 – 3,999 kilometres: 530 euros (with green travel: 610 euros)
  • 4,000 – 7,999 kilometres: 820 euros
  • 8,000 or more kilometres: 1,500 euros

Please note: HU is obligated to notify your tax office of these lump sum contributions. The payments are taxable. We therefore recommend that you keep all the receipts for expenses in connection with your business stay and claim them in the following calendar year as part of the annual wage tax declaration from your tax office.

Your application for the Erasmus funding for further education or training must be fully completed before you begin your business trip. Please therefore begin the preparation as early as possible.

Preparation

  • Inform yourself about which form of further education at which institution is possible for you (see also sections “Requirements” and “Formats”).
  • Please also clarify in advance whether your superiors support your project.

Application

The application for funding your further education abroad takes place in two steps, in both of which there are several documents to be submitted. Please send all the documents by email to the Erasmus+ Further Education team before you begin your business trip.

Step one:

Your documents will be checked by the Erasmus+ Further Education team, before we give you the “green light” by email for the second step of your application.

Step two:

Please submit the following document in the original by post or in person to the Erasmus+ Further Education team:

Once we have received all the necessary, completed documents, we can transfer the per diem allowance (see “Funding” section). The payment can be made no earlier than 30 days before the first working day.

During your stay

With the (Letter of Confirmation, the institution for the further education confirms that you have participated successfully in the programme. Please have the document signed and stamped on the last day of your further education on site. Then please submit it by email to the Erasmus Further Education team.

After your stay

You will receive an automatically generated email requesting that you complete an online questionnaire. Please answer the questions fully and give us some brief feedback by email after the processing. The travel expenses allowance (see “Funding” section) can then be transferred.

Under certain conditions, you can apply for further funding in addition to the abovementioned Erasmus allowances. The following options are available:

Top-up: green travel

If both your outbound and inbound travel do not include a plane, car or boat, you can apply for the special funding for green travel. The application must be received by email by the Erasmus Further Education team before you begin your business trip.

Please note: If you have submitted the application and your plans change so that you will travel by plane or car after all, please inform us immediately.

Actual costs application: University staff with disabilities

Have you received confirmation of funding for your stay abroad and do you have a degree of disability of at least 20, or a chronic medical condition that leads to an increased financial need abroad?
